Whether our client is carrying out a small to large-scale renovations or construction, we know this can be a stressful time, and we understand in most cases clients are juggling work and home life at the same time. There are many choices and decisions to be made and meet various regulations. The last thing we want our client is to worry and stress over how the contractors will be managed. Therefore, we have created a process and procedures to ease and minimise as much stress and burden of our clients.

We apply Prince 2 and Agile Project Management Methodologies to our projects. The methodologies aid our clients and us with clarity and transparency every step of the way to avoid any ambiguity. We believe in excellent communication, the key to success and to prevent any last minute surprises. Throughout the life of the project we will use tools to communicate the progress of the projects, this can be in person, via email, through project documents, phone calls, and WhatsApp chats, whichever is the preferred method by our clients.

Furthermore, all the documents relevant to individual client is uploaded on the website under ‘MyAccount’ this helps our client to find all the necessary records in one place rather than sifting through emails and looking for hard copies. Clients can log on at any time to see the latest position and progress.

Below you will find more information and list of some of the documents that we use to enable the successful delivery of the projects. These include, Work Package, Project Plans, Progress Dashboard Reporting, Risks and Issue Logs, Change Request, and Snagging list to mention few.

Work Package

This document will capture all the work that needs to be carried out, work in scope and out of scope. Both parties will sign off the work package once they are happy with all the requirements captured accurately.

Project Plans/Progress Dashboard Reporting

We tailored the traditional project plan to suit our industry and simplified, keeping in mind the needs of our client’s busy schedule. We wanted something that visually lets our client know when their task scheduled for, whether it’s on track, completed, overdue or there is a dependency. The same document also acts as a progress update so that our client doesn’t have to familiarise themselves with too many unnecessary documents.

Risks and Issue Logs

Risk and Issue log is managed and monitored by our project team. This helps us to anticipate any risks or issues arising as a result of our/client current decision or actions. Looking ahead helps as to mitigate or have plans in place for any foreseeable incidents, therefore, minimising the risk of a project running over budget and time.

Change Request

We understand sometimes our client may need to or want to make some changes to the existing work. This could be either adding tasks or changing a floor plan or design, for example, change in the kitchen design may result in additional work or some cases even de-scoping.

A change request is absolutely fine, however, for any substantial change we do request our client to complete the simplified change request form, or we would sit with our client and capture the difference together. This helps our client in identifying any impact on cost and time and keeps everyone on the same page therefore working to the current specification.

Snagging list

The snag list template will help our clients identify and compile a list of any minor errors for contracts to resolve. This inspection can be done during, end-stage or at the end of the project. However, we at RFS Renovations advice our clients to note down as soon as something comes to their attention, therefore, it’s not forgotten at a later stage.
